Communication from the City Manager and the Chief Information Officer for the PURCHASE of CISCO UNIFIED COMPUTING SYSTEM and ONSITE IMPLEMENTATION SERVICES from NETECH, in the Amount of $59,861.52.

BACKGROUND: The Information Systems Department has used virtual machine (VM) host computers for approximately five years. A virtual machine allows sharing of physical computer equipment to create multiple virtual computers. Virtualization saves costs by reducing the need for physical hardware systems. Virtual machines more efficiently use hardware, which lowers the quantities of hardware and reduces power and cooling demand. The Information Systems Department currently has created 30 virtual servers out of 4 physical computers.
The purchase of the Cisco Unified Computing System (UCS) goes well beyond the typical virtual machine solution by providing enhanced management tools and increased hardware performance. Instead of purchasing 4 physical computers to replace our current equipment we only need to purchase 3 under the Cisco UCS solution. With the Cisco UCS we will still see a performance increase and allow for future expansion.
Cisco UCS Bid #33-15 was closed on June 25, 2015. Pricing was requested for the Cisco UCS in two different configurations along with on-site implementation services. Configuration option 1 included the Cisco UCS and four physical computers, just like our current environment. Configuration option 2 included the Cisco UCS and three physical, but more powerful, computers. Pricing was also requested for onsite implementation (installation, training and conversion) services.
Staff discussed both options with Cisco and a determination was made to proceed with selecting option 2 and the implementation services. The more powerful computers in option 2 will allow us see a performance increase over our current equipment while realizing a lower initial cost along with savings in power and cooling requirements.
Eighteen (18) vendors were solicited and only two (2) responded.
