Title

Communication from the City Manager and the Chief Information Officer with a Request to APPROVE the PURCHASE of a NIMBLE STORAGE AREA NETWORK (SAN), in the amount of $124,338.16, from PRESIDIO CORPORATION Using GSA Contract GS-35Y-0119Y Pricing.

Body

BACKGROUND:  The City of Peoria uses a Storage Area Network (SAN) system for storing computer data accessible thru our internal network. Our SAN stores all city financial, public safety, community and geographic data. Our original SAN was purchased in 2003, replaced in 2008, and then again in 2011. The last replacement was expected to meet our storage needs until 2016. We were able to extend the useful life of our current SAN by one year by moving email and documents to the Microsoft Office 365 Cloud.

The main objective with this purchase was to provide the following:

Select a SAN that was expandable in order to limit the costs associated with a complete replacement. With the Nimble SAN we will be able to expand our storage capabilities as needed.

Provide a platform for city departments decrease the need for printed paper and increase the use of electronically stored images. The Police Department is making a large push to become more paperless, but is waiting for this purchase before they can proceed. With our recent conversion to OneSolution HR/Payroll we have begun storing pay stubs and W2’s for each employee electronically.

Consolidate different storage devices into one large storage device.

Modernize data backup and disaster recovery capabilities.

The flexibility of the SAN enables us to easily adapt to meet the changing storage needs of our business and delivering single platform support allowing us to mix and match operating systems within a single storage solution and provide disaster tolerance.  The current system has reached the end of sales cycle and upgrades are no longer available.

Presidio, the local Nimble authorized agent, is located at 401 SW Water Street and has provided hardware sales and service to the City IS Department recently. Their staff is aware of our technical infrastructure and our requirements. The purchase of the Nimble SAN will be made using pricing in GSA Contract GS-35F-0119Y. Nimble was selected because it’s consistently been identified by Gartner Technology Research as a leader in the SAN marketplace.

The purchase price of $124,338.16 is broken down as follows:

                     $95,040.75 for the Nimble SAN

$24,297.41 for 48 months of service and support

                     $5,000 for installation and configuration

The current SAN has served the City well, but was not upgradeable and had reached its storage capacity. The Nimble SAN has the ability to upgrade just by adding more hard drives. The Nimble will provide the City with approximately a four hundred percent increase in storage capabilities. Adding prepaid support services for $6,074.35 per year will save just under $7,000 per year when compared to the current SAN support cost of $13,000/yr.

FINANCIAL IMPACT:  Funding for this purchase has been included in the 2017 Capital Improvement Program Budget, Account # 401-8401-551.53-04 - Project CB1751
