ACTION REQUESTED: 

Title

Communication from the City Manager and the Director of Public Works with a Request to ACCEPT the Reduced Price LOW BID of TSI COMMERCIAL FLOOR COVERING, in the Amount of  $45,484.00, and Award a CONTRACT for the Carpet Replacement at GATEWAY BUILDING. (Council District 1)

 

Body

BACKGROUND:  The current carpet in place at Gateway Building is over ten (10) years old and is in disrepair.  The City will be utilizing carpet tiles in the areas to be replaced, as they provide a faster and less labor-intensive installation than rolled carpet and allow individual tile replacement as may become necessary.  This work will be scheduled so it does not conflict with any scheduled events. The base bid is for the Ballroom and the alternate bid includes the Room 201 meeting room.

 

The Purchasing Division distributed five (5) bid solicitations and received three (3) responses as set forth in Attachment A. 

 

Staff has worked with the Contractor to withdraw the removal portion of the contract in the amount of $4,582.00, which is approximately 10% of the contract.  Public Works will manage the removal by hiring local labor forces to remove the existing carpet.  The Contractor has also assured Staff that they will utilize carpenters from the local area to perform the installation.

 

The Good Faith Efforts documentation provided by TSI Commercial Flooring has been reviewed and approved by the Equal Opportunity Manager.  The Company is a certified Woman Business Enterprise (WBE).

 

FINANCIAL IMPACT:  Funding for the Carpet Replacement will come from the Gateway Building account number 405-8405-551.00-02.

 

NEIGHBORHOOD CONCERNS:  N/A

                     

IMPACT IF APPROVED: The worn and stained carpeting will be replaced.

 

IMPACT IF DENIED:  Facility Operations will continue to repair carpets in these areas as soundly as possible.

 

ALTERNATIVES:  N/A
