Communication from the City Manager and the Chief of Police for the Approval of the SOLE SOURCE CONTRACT for the City Security Systems Maintenance with MIDCO, INC., for a One Year Period August 1, 2015 - July 31, 2016, in the Amount of $40,505.00.

BACKGROUND: 

 

Since 2009, the City has contracted with Midco Inc. to provide maintenance and upkeep to the City’s security video cameras, access control systems and emergency call stations.  Prior to that time, service on these systems were only performed when it was discovered that they were no longer functioning.  This resulted in paying the prevailing hourly labor rates, including increased rates for nights and weekends, as well as for replacement parts.  This also resulted in occasions wherein we were without service while we waited for repairs to be made.

 

Included within this agreement is one preventative maintenance check on our systems per year.  This helps to identify potential problems before they develop into system failures and to maintain the overall integrity of these systems. 

 

By entering into this contract we will know our maintenance costs for an aging system, a system that will surely require more attention in the future.    

 

FINANCIAL IMPACT:  Funding for this project is included in the 2015 Public Works Facilities Budget account number 101-3123-546.37-15.

 

NEIGHBORHOOD CONCERNS: Working jointly with Public Works, Information Systems, and Technical Services Division of the Police Department, Midco has help create workable solutions to problems with the Neighborhood Anti-Crime cameras.

                                          

IMPACT IF APPROVED: The City will have a reliable and useable security systems.  On-going maintenance costs will be contained.

 

IMPACT IF DENIED:  The cost to repair camera and security systems, on an as-need basis, could increase.  Without preventative maintenance checks, the system could deteriorate to the point of replacement.
