ACTION REQUESTED:

title

Communication from the City Manager and Director of Public Works with a Request to APPROVE the Selection of STREET MATERIAL VENDORS for 2018.

Body

BACKGROUND:  Bids for the 2018 Street Maintenance Materials were received and opened on April 20, 2018. The bid types listed on Attachment #1 are recommended for approval.

In several cases, as shown on Attachment #1, contract awards for materials are recommended to more than one firm for the following reasons:

1.                     The location of the vendor’s facility is the determining factor, based on job site location, in order to allow for reduced delivery times.

2.                     Some vendors do not provide all materials every day. The selection of multiple vendors provides staff with a supply choice to assure materials are available on any     scheduled work day.

FINANCIAL IMPACT:  Funding for these expenditures is provided in the 2018 Operations budget for Public Improvements: Castings 101-3120-542.44-06, Code Patch Mix 101-3120-542.44-08 and Traffic Parts and Supplies 101-3151-544.49-04.

NEIGHBORHOOD CONCERNS:  The approval of this request will enhance the citizens’ quality of life by ensuring materials will be available for street maintenance.

IMPACT IF APPROVED: Important street, storm sewer and alley maintenance annual activities will continue.

IMPACT IF DENIED:  Materials will not be available for annual street maintenance, resulting in infrastructure deterioration and additional work later, at additional cost.
