BACKGROUND:
The City of Peoria Police Department's current scheduling software program is outdated and no longer meets the needs of the department. Employee scheduling, timekeeping, and payroll exporting remain some of the most labor intensive and time-consuming tasks within the department for both commissioned and civilian personnel. The current system is prone to timekeeping errors and is extremely difficult to conduct audit trails. The current system has no remote or mobile access.

The Pace Scheduler software program solves the scheduling and timekeeping needs of the Police Department and would eliminate the need for manual timekeeping. The Pace Scheduler software program is compatible with the Tyler Munis payroll system, used by the City of Peoria's Payroll Department. The purchase of Pace Scheduler would drastically simplify daily scheduling tasks, making the Police Department more efficient. The Pace Scheduler program is cloud based and mobile friendly. Pace Scheduler has the ability to easily identify and fill staffing deficits, manage on the fly scheduling changes, track benefit time, automate leave-time and overtime requests, send scheduling notifications to all personnel, and create valuable reports including full audit trails.

The Pace Scheduler software program has an annual cost of $16,075. This price includes all future software upgrades; Pace Scheduler mobile app and all future app updates; In-person staff training at the police department; 24/7 tech support and help desk ticket support; Server hosting, maintenance, and security.

FINANCIAL IMPACT: The annual cost of the software license subscription is $16,075.00. Funds are provided in account 101-2110-503999.
