BACKGROUND:
As part of the renovation of City Hall, Facilities Operations staff is currently refurbishing Room 400. This refurbishing includes upgrading the audio/visual system.

The current audio system in Council Chambers has been in use since 1994 and is at the end of its useful life. We have found many replacement parts are no longer available and some pieces have been taken out of service.

Conference Technologies, Inc. has worked with software provider Granicus to develop an audio/visual system integrated with Granicus software. This system will include all votes being cast on iPads and recorded directly into the Granicus system, wall-mounted cameras which will turn and focus when a microphone is activated, and three 90" wall-mounted monitors for presentations and better viewing. This upgrade will also allow for further expansion of the system in the future.

FINANCIAL IMPACT: Funding for this work is budgeted in the 2013 Facilities Operations capital program 401-8401-551.50-02 Project CB1300.

NEIGHBORHOOD CONCERNS: N/A

IMPACT IF APPROVED: The capital program for the remodel of Council Chambers will be implemented as planned.

IMPACT IF DENIED: The Chambers will continue to use a system in use since 1994.

ALTERNATIVES: Staff will update the audio-visual system which will integrate with the new Council Agenda software supplier, Granicus.
