Communication from the City Manager and City Clerk with a Request to APPROVE an AGREEMENT with GRANICUS INC. to Provide a Council Agenda and Meeting Software, in the Amount of $31,351.38 for 2020, $33.545.98 for 2021, and $35,894.19 for 2022.

BACKGROUND: For several years, the City of Peoria has utilized Granicus to provide Council meeting management, agenda preparation and transparency services for City Council Meetings. The software agreement expired December 31, 2019. A new software agreement (attached) includes the following services:
• Transparency for in-meeting streaming of Council meetings;
• Uploading of meeting archives;
• Recording of votes, motions, and streamlining the production of meeting minutes;
• Automation of the entire legislative process; and
• Expansion of the software to Boards and Commissions.
FINANCIAL IMPACT: Funding for the software will be paid out of the Information Systems software budget. The costs would be $31,351.38 for 2020, $33.545.98 for 2021, and $35,894.19 for 2022.
NEIGHBORHOOD CONCERNS: Having accessible information on City Council agenda items is a concern for all neighborhoods and increases transparency.
IMPACT IF APPROVED: The software would be purchased.
IMPACT IF DENIED: City staff would revert back to a paper process or seek alternative vendors.
ALTERNATIVES: Alternate vendors could be solicited, the price is unknown at this time.
